Terms & Conditions

Please read these terms carefully before requesting, confirming, or paying for a tour, accommodation arrangement, transportation service, or eclipse-viewing experience.

These Terms and Conditions apply to all solar eclipse tours, travel packages, accommodation arrangements, transportation services, excursions, activities, and other services booked through Solar Eclipse Tours.

Solar Eclipse Tours is operated by Elzaghandi Group, a local travel operator based in Bahariya Oasis, Egypt.

By submitting a booking request, accepting a written quotation, paying a deposit, or making full payment, the client confirms that they have read, understood, and agreed to these Terms and Conditions.

Contract Formation

A binding contract is established between the client and Solar Eclipse Tours when:

  • The required deposit or full payment has been received; and
  • Solar Eclipse Tours has issued a written booking confirmation, official invoice, or confirmation by email.

An inquiry, provisional reservation, verbal discussion, submitted booking form, or quotation does not constitute a confirmed booking until payment has been received and written confirmation has been issued.

The person making the booking confirms that they are authorized to accept these Terms and Conditions on behalf of every traveler included in the reservation.

Booking and Payment Policy

A deposit is required to secure all reservations. The required deposit amount will be stated in the quotation, invoice, or booking confirmation.

The remaining balance must be paid by the deadline stated in the booking confirmation. Depending on the package, the remaining balance may be required before arrival in Egypt or upon arrival, as agreed in writing.

Payments may be accepted through:

  • Bank transfer
  • Credit or debit card
  • Approved online payment provider
  • Cash, where agreed in advance

Credit card and online payments may be subject to additional processing fees where these fees are disclosed before payment.

The client is responsible for any bank transfer charges, intermediary bank fees, currency conversion fees, and other charges imposed by the client’s bank or payment provider.

Solar Eclipse Tours reserves the right to cancel an unpaid reservation if the required payment is not received by the stated deadline.

Special Eclipse Tour Reservations

Solar eclipse tours are special-event travel packages involving limited accommodation, transportation capacity, viewing-site access, camp services, guides, equipment, and other arrangements that must often be secured well in advance.

Availability cannot be guaranteed until the required payment has been received and Solar Eclipse Tours has issued written confirmation.

Hotels, transport providers, camps, and other suppliers may require advance commitments from Solar Eclipse Tours. However, customer cancellations will be handled according to the cancellation policy in Section 4 unless different package-specific terms have been clearly disclosed in writing and expressly accepted by the client before payment.

Refund protection: No supplier deductions will be made from refunds during the 100% refund period specified in Section 4.

Cancellation by the Client

All cancellation requests must be submitted in writing by email.

The date on which Solar Eclipse Tours receives the written cancellation request will be used to determine the applicable cancellation charge.

Where possible, approved refunds will be returned through the original payment method.

No refund will be provided for accommodation, transportation, meals, activities, eclipse-viewing services, or other services that remain unused after the tour has started.

If the client arrives late, voluntarily leaves the tour before completion, or chooses not to participate in an included service, no refund will be provided for the unused service.

Booking Transfers and Name Changes

A client who is unable to travel may request to transfer the booking to another traveler.

All transfer and name-change requests must be submitted in writing and are subject to:

  • Approval by Solar Eclipse Tours
  • Supplier rules and restrictions
  • Availability
  • Payment of any additional supplier, administrative, or processing costs
  • The replacement traveler meeting all travel, visa, health, and participation requirements

A booking transfer is not confirmed until written approval has been issued.

Where a supplier does not permit a name change, the request may be treated as a cancellation and a new booking.

Amendments Requested by the Client

Requests to change a confirmed reservation must be submitted in writing.

Solar Eclipse Tours will make reasonable efforts to accommodate requested changes. However, all amendments are subject to availability and supplier approval.

Client-requested changes may result in additional costs, including:

  • Hotel amendment charges
  • Transportation changes
  • Supplier fees
  • Increased seasonal rates
  • Administrative fees
  • Payment processing charges

A requested amendment is not confirmed until Solar Eclipse Tours provides written approval.

Changes to travel dates may be treated as a cancellation of the original booking and the creation of a new reservation.

Amendments by Solar Eclipse Tours

Solar Eclipse Tours reserves the right to make reasonable changes to the itinerary when necessary for operational, safety, weather, traffic, government, supplier, security, or logistical reasons.

Minor changes may include:

  • Adjusting departure times
  • Changing activity times
  • Changing the sequence of visits
  • Altering transportation arrangements
  • Replacing accommodation with a reasonably similar alternative
  • Adjusting meals or activities
  • Changing routes or rest stops
  • Moving the eclipse-viewing location

Where a significant change occurs before the tour begins, the client will be informed as soon as reasonably possible and, where available, offered a suitable alternative.

Changes made for safety, improved viewing prospects, crowd management, road access, government requirements, or operational necessity do not automatically entitle the client to compensation or a refund.

Solar Eclipse Visibility

A solar eclipse is a natural astronomical event. Solar Eclipse Tours cannot guarantee that the eclipse will be fully or partially visible from the planned viewing location.

Visibility may be affected by circumstances beyond our reasonable control, including:

  • Clouds
  • Dust
  • Sandstorms
  • Haze
  • Smoke
  • Weather conditions
  • Atmospheric conditions
  • Government restrictions
  • Security restrictions
  • Road closures
  • Site-access restrictions
  • Natural events

No refund or compensation will be provided solely because the eclipse is obscured, partially visible, or not visible due to weather, atmospheric conditions, or another circumstance beyond the reasonable control of Solar Eclipse Tours.

Advertised eclipse times, durations, percentages, and viewing conditions are based on available astronomical information. Actual viewing conditions may vary.

Eclipse-Viewing Location

The planned eclipse-viewing location may be changed before or during the tour when Solar Eclipse Tours reasonably considers the change necessary for:

  • Better weather or visibility prospects
  • Guest safety
  • Crowd management
  • Road conditions
  • Government instructions
  • Security requirements
  • Site-access restrictions
  • Operational or logistical reasons

An alternative location may provide a different duration of totality, percentage of eclipse coverage, landscape, accessibility level, facilities, or comfort level.

Solar Eclipse Tours will make reasonable efforts to provide the best practical viewing experience but cannot guarantee access to a particular viewing point.

Solar-Viewing Safety

Important safety notice: Looking directly at the Sun without appropriate protection may cause serious and permanent eye damage.

Clients must follow all safety instructions provided by Solar Eclipse Tours, guides, astronomical experts, equipment providers, and event supervisors.

Approved eclipse glasses or certified solar filters must be used during all partial phases of the eclipse.

Ordinary sunglasses, unfiltered cameras, binoculars, telescopes, or homemade filters do not provide adequate protection.

Clients are responsible for:

  • Using solar-viewing equipment correctly
  • Following all safety instructions
  • Inspecting glasses and filters for damage before use
  • Supervising children under their care
  • Using suitable filters with cameras, binoculars, and telescopes
  • Avoiding direct solar observation when instructed

To the fullest extent permitted by applicable law, Solar Eclipse Tours will not be responsible for injury resulting from a client’s failure to follow safety instructions or misuse of solar-viewing equipment.

Pricing and Currency

All prices are quoted in United States dollars unless otherwise stated.

Prices are based on accommodation rates, transportation costs, taxes, supplier charges, exchange rates, government fees, fuel costs, entrance fees, and operational expenses applicable when the quotation is prepared.

Prices may change before the booking is confirmed.

After confirmation, Solar Eclipse Tours may adjust the price where necessary because of circumstances beyond its reasonable control, including:

  • New government taxes or fees
  • Significant currency fluctuations
  • Fuel price increases
  • Supplier price increases
  • Changes in entrance fees
  • New government regulations
  • Changes requested by the client

Any applicable adjustment will be communicated to the client.

Peak-Period and Special-Event Surcharges

Standard rates may not apply during peak periods and special events, including:

  • The August 2027 solar eclipse period
  • New Year
  • Christmas
  • Easter
  • Egyptian public holidays
  • Major festivals
  • Conferences
  • Special events

Hotels, camps, transportation companies, and other suppliers may impose compulsory supplements or special-event rates.

Any applicable supplements will be communicated during the quotation or booking process.

Accommodation

Accommodation will be provided according to the category stated in the confirmed itinerary.

Hotel classifications and service standards in Egypt may differ from the standards used in the client’s home country.

If confirmed accommodation becomes unavailable, Solar Eclipse Tours may provide a reasonably similar alternative.

Room preferences, including bedding type, connecting rooms, views, floors, and specific room locations, are subject to availability and cannot be guaranteed unless confirmed in writing.

Remote camps and desert accommodation may provide more limited services than city hotels, including limited electricity, internet access, mobile coverage, air conditioning, private bathroom facilities, hot water, and food choices.

The client accepts that remote desert travel may involve simple facilities and conditions.

Transportation and Delays

Transportation may be provided using cars, minibuses, coaches, four-wheel-drive vehicles, domestic flights, trains, cruises, or other appropriate transportation stated in the itinerary.

Travel and transfer times are approximate and may be affected by traffic, weather, road conditions, security checks, government controls, mechanical issues, supplier delays, or operational circumstances.

Solar Eclipse Tours is not responsible for missed international flights or independently booked services resulting from circumstances beyond its reasonable control.

Clients should allow sufficient time between the end of the tour and independently arranged flights or onward transportation.

Force Majeure

Solar Eclipse Tours will not be liable for any cancellation, alteration, interruption, failure, or delay caused by events beyond its reasonable control.

Force majeure circumstances may include:

  • Natural disasters
  • Extreme weather
  • Sandstorms
  • Flooding
  • War or threat of war
  • Civil unrest
  • Terrorism
  • Security incidents
  • Government actions or restrictions
  • Border closures
  • Epidemics or pandemics
  • Strikes
  • Flight cancellations
  • Road closures
  • Utility failures
  • Supplier failures
  • Restrictions affecting the viewing site
  • Other exceptional and unavoidable circumstances

Where reasonably possible, Solar Eclipse Tours will attempt to provide alternative arrangements.

Additional expenses resulting from force majeure circumstances may be payable by the client.

Any refund will depend on the amounts recoverable from suppliers after deducting unavoidable and non-recoverable costs, except where Section 4 expressly provides a guaranteed refund.

Third-Party Service Providers

Solar Eclipse Tours may act as an organizer or intermediary between clients and independent service providers, including hotels, camps, airlines, cruise operators, transportation companies, guides, restaurants, attraction operators, activity providers, and payment providers.

These suppliers operate independently and are responsible for delivering their respective services.

To the fullest extent permitted by applicable law, Solar Eclipse Tours will not be responsible for injury, loss, damage, delay, cancellation, or irregularity caused by the acts, omissions, negligence, or failure of an independent supplier.

Where Solar Eclipse Tours is legally liable, its liability will be limited to the amount paid for the affected service, unless applicable law requires otherwise.

Nothing in these Terms and Conditions excludes or limits any liability that cannot legally be excluded or limited.

Client Conduct

Clients must behave respectfully toward other travelers, employees, guides, drivers, suppliers, local residents, and authorities.

Solar Eclipse Tours may remove a client from a tour without a refund if the client’s conduct:

  • Threatens the safety or wellbeing of another person
  • Causes serious disruption
  • Damages property
  • Violates local laws
  • Shows serious disrespect toward local customs
  • Involves harassment, violence, threats, or abusive behavior
  • Repeatedly ignores safety instructions

The client will be responsible for any costs, losses, or damage resulting from their conduct.

Travel Insurance

Comprehensive travel insurance is strongly recommended for every traveler.

Insurance should include appropriate coverage for:

  • Trip cancellation
  • Trip interruption
  • Medical treatment
  • Emergency evacuation
  • Personal injury
  • Travel delays
  • Missed departures
  • Loss or theft of luggage
  • Repatriation
  • Special-event cancellation
  • Activities included in the itinerary

Solar Eclipse Tours does not provide travel insurance unless expressly confirmed in writing.

Clients are responsible for arranging appropriate insurance before departure and checking that the policy covers the full itinerary.

Health and Medical Requirements

Clients are responsible for assessing whether they are physically and medically able to participate in the selected tour.

Eclipse tours and desert experiences may involve:

  • High temperatures
  • Desert conditions
  • Uneven ground
  • Long transportation periods
  • Limited medical facilities
  • Remote locations
  • Early departures
  • Extended periods outdoors

Clients must inform Solar Eclipse Tours before booking about any medical condition, disability, allergy, dietary requirement, mobility restriction, or accessibility need that may affect their participation.

Solar Eclipse Tours will make reasonable efforts to accommodate disclosed requirements but cannot guarantee that every location, vehicle, camp, or service will be accessible.

Passport, Visa, and Entry Requirements

Clients are solely responsible for meeting all passport, visa, immigration, vaccination, customs, and health requirements for travel to Egypt.

Clients must ensure that their passports remain valid for the period required by the relevant authorities.

Solar Eclipse Tours is not responsible for a client being refused entry, denied boarding, delayed, or unable to travel because of missing, incomplete, inaccurate, or invalid documentation.

Information provided by Solar Eclipse Tours regarding entry requirements is general guidance only. Clients should independently confirm current requirements with the appropriate embassy, consulate, airline, or government authority.

Personal Belongings

Clients are responsible for their luggage, passports, money, cameras, electronic devices, solar-viewing equipment, and other personal belongings.

Solar Eclipse Tours will not be responsible for loss, theft, or damage unless it results directly from proven negligence for which liability cannot legally be excluded.

Clients should use hotel safes where available and ensure that valuable items are covered by appropriate travel insurance.

Photography and Media

Solar Eclipse Tours may take photographs or videos during tours for promotional, marketing, documentary, or operational purposes.

Clients who do not wish to appear in photographs or videos must inform the tour representative in advance.

Commercial photography, professional filming, drone operation, or the use of specialized equipment may require advance permission from Egyptian authorities, property owners, or site operators.

Unless otherwise agreed in writing, clients are responsible for obtaining any required permits.

Complaints and Claims

Any complaint should be reported immediately during the tour to the relevant guide, representative, hotel, or service provider so that reasonable efforts can be made to resolve it.

If the issue is not resolved during the tour, a formal complaint must be submitted to Solar Eclipse Tours in writing within 14 days after completion of the booked services.

The complaint should include:

  • The client’s full name
  • The booking reference
  • A description of the issue
  • The date and location of the incident
  • Supporting documents or photographs, where relevant
  • The requested resolution

Failure to report a problem promptly may limit our ability to investigate or resolve it.

Privacy and Personal Information

Personal information collected during inquiries and bookings will be handled according to the Solar Eclipse Tours Privacy Policy.

Information may be shared with hotels, camps, transportation providers, guides, payment processors, government authorities, and other service providers when necessary to arrange or deliver the booked services.

By making a booking, the client acknowledges that limited personal information may need to be processed or transferred for operational purposes.

Governing Law and Jurisdiction

These Terms and Conditions are governed by and interpreted according to the laws of the Arab Republic of Egypt.

The parties agree to first attempt to resolve any dispute through good-faith negotiation or mediation.

If a dispute cannot be resolved amicably, it will be subject to the jurisdiction of the competent Egyptian courts.
